Front Office Administrator

Overview of the Position:

This position will provide general administrative support for all staff. Due to significant client contact, the Front Office Administrator must be highly professional in dress, manner, and communication skills. This full-time, hourly position will work a five-day schedule, defined as Monday through Friday, generally between the hours of 8:00 a.m. to 5:00 p.m., with one hour (unpaid) for lunch. Additional work may be required on evenings and weekends depending on the amount and nature of work outstanding and time of the year.

Position Responsibilities:

  • Become familiar with firm’s policies, procedures, manuals and forms.

  • Greets all clients in the office and on the telephone; maintains lobby, reception area,

    conference rooms and break areas in good order and with necessary supplies.

  • Acts as central communication person and maintains in and out status for all staff.

  • Maintains schedules for all conference rooms, acts as liaison for scheduling conference

    areas and community rooms.

  • Maintains coffee and break areas and coordinates the stocking of supplies.

  • Provides support as needed for client, business development, marketing, shareholder and

    staff meetings.

  • Sorts incoming mail daily and delivers within the office.

  • Forwards faxes received to appropriate staff.

  • Assembles tax returns.

  • Binds financial statements.

  • Applies cash receipts to client accounts daily; corrects service charges and mails client

    statements monthly.

Education & Experience:

  • High school education or GED

  • 2–3 years of experience with general office duties in a professional setting

Skills and Qualifications

  • Position requires advanced administrative and computer skills.

  • Ability to operate PC compatible computers.

  • Advanced skill level using Microsoft Word, Excel and PowerPoint and other professional


  • Excellent grammar and composition skills.

  • Excellent oral communication skills with the public and with co-workers.

  • Familiar with appropriate styles of office and professional correspondence and forms and

    related materials.

  • Operates copy machines, facsimile machines, and 10-key calculator.

  • Ability to interpret written word and understand verbal instructions as related to any duties assigned.

  • Requires discretion and judgment in making decisions, which generally are based upon precedent or standard operating policies and procedures.

  • Attention to detail and production of a quality work product.

  • Holds a valid driver’s license: ability to travel to all Firm offices.

Working Conditions

  • This job operates in a clerical, office setting.

  • Able to sit at a desk and work at a computer for extended periods of every work day.

  • Can personally lift and move objects weighing up to 15lbs.
